How it works

Users fill out and submit timesheets
Project or operations managers approve timesheets
Financial Managers recognize direct costs and overheads
Management make informed decisions based on the comprehensive analytics

Timesheets

In professional services and consulting, a timesheet should be considered as a report on the work activities for the period of time.

The timesheet shows a complete picture of the employee’s work for the period — how much time was spent on commercial projects, organizational tasks, or downtime. Timesheet comments and a classifier of types of work improve the understanding of the performed tasks.

Timesheets in Timetta are customizable and can be personalized even for an individual employee. You can customize timesheet periods, the way you enter time, and whether fields are displayed or hidden.

All the timesheets features are available in mobile apps, which increases user commitment.

Time Off

Vacations, sick leave, and other absences are an essential part of the time-tracking information.

Users schedule and submit absences. Time off requests can include type, period, and related information. Timetta tracks intersections of absences and on-time approvals.

For the convenience of users, absences are automatically included in the timesheet as a separate line.

The absence schedule is available for managers — a convenient and clear representation, useful in coordinating requests to avoid the simultaneous absence of several key staff members.

Business rules

With Business Rules, Timetta eliminates routine checks on timesheets. Business rules are checked before they are submitted for corporate compliance.

A business rule can prohibit sending a timesheet for approval or may only notify the user of a violation.

System can check the sum of counted hours versus schedule hours. Also there is fields filling, exceeding the plan by project tasks, and other rules.

Approval Processes

Timesheets and absence requests approvals increase the reliability of time-tracking information.

Approval processes are customizable and involve roles or specific employees. For example, in the first step, the timesheet may be approved by the project managers, and in the second step, by the employee’s supervisor.

The approval history is available in the client records, and special reports will show the bottlenecks that slow down the approval process.

Stopwatch

Stopwatch helps to keep track of your working time. The stopwatch is triggered directly from the timesheet and can be paused for a period of time.

When the stopwatch turned off, the recorded time is added to the timesheet.

Why would I need a separate system for time-tracking?

Why not get time information from your CRM, calendar, or task tracker? Or just keep track of working hours in Excel?

This is a good idea, but it’s not all that simple. Since it is necessary to build a management solution for the company, it is important to meet a number of requirements:

  1. It is necessary to have complete information about working hours. Amount of tracked and scheduled working hours should align with each other. Otherwise you will not be able to account the project economy, for example, to normalize and allocate costs by project.
  2. Data must be verified. After all, information about working hours will form the basis for calculating the economy, employees rewards, and making management decisions. This should be a process, you can not randomly coordinate certain tasks without controlling others.
  3. Data must be consistent. If employees are using different software, like Jira or Trello, then it’s hard to compare and reconcile data. And if employees can also create and change projects themselves, project economy becomes impossible to account.

And if your current software doesn’t solve these problems, you need Timetta to complement your task tracker or project management system.
